The challenge
An 820-student mixed boarding secondary school in Bungoma County was running fees through a wall calendar and ledger book, attendance on paper registers, and exam results compiled manually in Excel after every term. Fee balance disputes with parents were weekly. Arrears follow-up consumed the bursar’s entire Monday. The principal had no real-time view of fee collection, and parents had to physically come to the school office to check balances.
Our approach
- Deployed Mkufunzi School Management System with fees, attendance, exams, and parent portal modules.
- Imported the entire student database (820 records), opening balances, and previous term’s exam results from spreadsheets.
- Configured M-PESA paybill auto-reconciliation — parents pay, balances update, receipts SMS automatically.
- Built the CBC-aligned exam template per subject with auto-ranking and parent-facing report cards.
- Launched the parent web portal with mobile-friendly access — fees, attendance, exam results, school announcements.
- Trained 6 administrative staff, all 38 teachers, and ran two parent orientation sessions.
Results delivered
- Fee collection rate improved from 78% to 94% by mid-term — parents could see balances and pay from their phones.
- Bursar reclaimed full Monday previously spent calling parents about arrears — system sends WhatsApp reminders automatically.
- Exam result preparation dropped from 5 days to 1 day per term.
- Parent portal usage: 71% of registered parents access the portal at least monthly.
- School announcements reach parents same-day via SMS + WhatsApp instead of letters carried home.
